Title: Youth Intern - Business and Program Development

Position Summary:
Reporting to the Executive Director, the Youth Intern is responsible for the promotion, delivery, administration, monitoring and reporting of specified community, business, skills, and employment development programs, services and activities of the Corporation. These services are to be promoted, delivered and administered to support and facilitate socio-economic development of a competitive and diversified economy through investments in sustainable economic development in Grenville County.
AREAS OF RESPONSIBILITY
1. Board Oriented:
- adhere to the policies and procedures adopted by the Board
- as determined by the Executive Director, act as an ex-officio member of the Board and any Committees of the Board
- upon request by the Executive Director, attend and report on Community Economic Development (CED) activity at meetings of the Board of Directors and/or Committees of the Board
- provide all necessary information to the Executive Director, the Investment Committee and the Board to facilitate sound decision making
2. Client Oriented:
- provide objective, third party advice, counselling services, information services, and technical assistance to local entrepreneurs, businesses and community organizations to assist them in implementing business or community development initiatives
- act as a liaison with entrepreneurs, businesses and community organizations that are funded by specified Corporate CED programs as directed by the Executive Director
- maintain client filing systems for specified Corporate programs
- prepare letters of offer to secondary recipients/participants for the review and signature of the Executive Director
- prepare client correspondence for the review and signature of the Executive Director, including correspondence informing secondary recipients/participants of the status of their applications
- monitor and track progress of secondary recipients/participants on a regular basis, reporting variances to the Executive Director
- perform on-site client/project visits where appropriate to assess progress of secondary recipients/participants
- maintain database and filing system for monitoring secondary recipient/participant files and records against approved budgets and statements of work, utilizing the Corporation’s customized client database software (TEA)
- monitor records of secondary recipients/participants, claims and/or reports receivable and implement follow up procedures as required
- evaluate the performance of entrepreneurs, businesses and community organizations funded by specified Corporate CED programs and report the performance evaluation to the Executive Director, the Investment Committee and/or the Board of Directors upon direction from the Executive Director
- ensure all application, letter of offer, financial claim and final reporting documentation is completed and submitted in adherence with program and Corporate requirements, advising the Executive Director of any variances
- ensure secondary recipients / participants projects are executed in accordance with the terms of the letter of offer and report any variances to the Executive Director
3. Staff Oriented:
- advise the Executive Director about his/her activities and any important trends of interest to the Corporation
4. Program Maintenance, Development and Delivery:
- establish and revise program application criteria as directed by the Executive Director
- recommend to the Executive Director, any changes in CED programming and services that would enhance the success of the programs and the Corporation
- ensure that all terms and conditions of funding required by the policies of the Corporation and contracts held by the Corporation are adhered to
- be aware of federal, provincial, municipal and private community and business development programs and services
- prepare proposals for program and service additions/enhancements for review of the Executive Director as necessary
- prepare proposals and reports as directed by the Executive Director
5. Administration and Financial Monitoring:
- under the direction of the Executive Director, assist in the preparation, presentation and monitoring of all aspects of specified CED programming budgetary process including development of cash flow projections
- monitor progress vs. budget for specified CED programs, identifying “slippage” and making recommendations to the Executive Director regarding funding reallocation decisions to be made by the Investment Committee and/or Board of Directors
- investigate and assess applications for specified CED programs in accordance with Corporate funding policies and contractual requirements
- prepare analyses of the investigations, presenting findings, completing documents and making recommendations, where applicable, to the Executive Director and subsequently to the Investment Committee and/or Board of Directors
- review and update, on a continuing basis, reporting systems by which the Executive Director, the Investment Committee and the Board of Directors will be informed about the number and size of specified CED program funding contributions/loans requested; the number and size of contributions/loans issued; the status of projects funded; the overall use of program funds compared to the total funds available, funds in use and funds remaining available; the number of recipients; and overall program delivery results vs. targets
- prepare monthly/quarterly/year end reports for the Executive Director, Investment Committee, Board of Directors and FedDev Ontario as required
- maintain accurate records of disbursements of specified CED program funds to secondary recipients, monitoring progress against approved level of funding and reporting variances to the Executive Director
- work with other corporate finance and administrative staff in balancing and reconciling specified CED program funds, claims, accounting records and program delivery results vs. targets
6. Public Relations:
- promote and maintain a high profile for the Corporation and its programs in Grenville County
- participate in relevant seminars and events in consultation with the Executive Director
- network with community and business development agencies and organizations
- promote specified CED funding and programming to the community
- speak to interested community and business groups in consultation with and as directed by the Executive Director
- distribute printed and electronic information to local businesses, groups and agencies
- maintain specified CED program funding information on the Corporate website
7. Documentation and Confidentiality:
- ensure all activities and client contacts are accurately documented as per the requirements of funding agents
- accurately document any information exchange (i.e. client interviews; contacts with other agencies, organizations, or institutions re: clients and telephone or electronic mail exchanges with clients)
- recognize any information exchange (written or verbal) with clients, staff, other agencies, Corporate staff, the Board and Committees is confidential
- adhere to the Confidentiality Agreement
8. Knowledge and Research:
- know the goals, objectives, strategies and policies of the Corporation
- know and understand all Corporation program and service guidelines, agreement details and eligibility criteria
- be familiar with reference materials available in-house as well as those available from other local sources
- be aware of all relevant community and business development services and programs available to the communities serviced by the Corporation from local, regional, provincial and federal agencies
- know the Corporation service area and all relevant boundaries
- be familiar with the community profile and community plans for the Corporation and the Corporation service area
- be aware of current affairs in the business and the broader community and share with the Executive Director and other staff members
9. Personal Development:
- develop and implement a personal training plan in consultation with the Executive Director
- actively undertake self-improvement activities to strengthen and expand skills
- participate in seminars or courses to ensure that the level of service provided by the Corporation is always improving
10. Interpersonal:
- develop a strong working relationship with all clients, staff, and Board members
- contribute to positive staff morale and the team work environment
11. Additional Responsibilities:
- prepare for and participate in any program and/or service review or audit processes as required by the Executive Director
- prepare proposals, plans and reports for community and business development programs and services
- support other functions within the office which are outside of the identified responsibilities of the position as necessary and as directed by the Executive Director
- perform other duties as assigned by the Executive Director
12. Qualifications:
- Recent graduate of a post secondary institution with a degree/diploma in business/finance/commerce or similar discipline, under the age of 30 years
- work experience in an administrative and financial services office environment
- accounting and financial experience and knowledge
- project management experience
- demonstrated advanced working knowledge of MS Office, internet applications and social media marketing applications
- working knowledge of custom and/or popular database programs and web design programs
- ability to deliver and implement a work plan with measurable objectives
- effective interpersonal, verbal/written communication and organizational skills
- tact, public relations and superior customer service skills and experience
- public speaking experience
- ability to liaise with relevant organizations and agencies and the business community
- awareness of local and regional business climate and business community
- knowledge of community and business development information and related programs
- mature and empathetic with the ability to establish rapport
