Food Matters Manitoba and the conference planning committee are seeking a contract conference coordinator to work with a planning team and staff to coordinate the February 2013 Growing Local Conference, a large conference with up to 700 attendees.
Growing Local Conference Coordinator Description
Reporting to the Executive Director and the conference planning committee, the successful
applicant will work with the planning committee, 2 additional project staff, volunteers, and
general public. The successful applicant will assist the planning team in the coordination of a
three day food security networking and education forum to be held February 21-23 2013 at the
Marlborough Hotel.
Interviews will take place the week of June 4th, 2012 with an incremental work load to March
2013. The position will be a contract of $20/hr up to 450 hours.
Job Description
- Coordinate and document conference planning committee meetings
- Coordinate all event logistics before and during the conference
- Develop promotional materials and promote the conference
- Develop and coordinate event registrations
- Prepare conference packages
- Coordinate event finances
- Coordinate catering (local food) and oversee nutrition breaks
- Coordinate information booths
- Coordinate mailings and electronic communication
- Liaise with youth gathering coordinators
- Coordinate travel arrangements and subsidies
- Prepare funder recognition signage
- Coordinate conference volunteers
- Coordinate written and visual recording of the conference
- Coordinate evaluation transcription
- All other conference details
- Coordinate presenters and logistics
- Coordinate workshop schedules
- Develop sponsorship packages and solicit sponsors
- Develop and disseminate conference report
- Prepare internal conference coordinator planning report
- Supervise two conference assistants
- Assist with other projects and tasks when required
The successful applicant will be/have:
- Proven experience organizing community events and conferences
- Highly organized with proven attention to detail
- Strong written and oral communication skills
- Strong interpersonal skills and enjoy working with the public
- High level of computer knowledge, Word and Excel
- Be self motivated and a team player
- Able to multitask and meet deadlines
- Able to work flexible hours
- Able to exercise independent judgment
- Ability to work well on dynamic, busy and time sensitive projects
- Volunteer management experience is considered an asset
- An interest in and knowledge of food security issues is considered an asset
