Administration Coordinator

Food Secure Canada’s fast-growing Montreal office is looking for a highly motivated, organized and experienced part-time Administrator. This position is based in Montreal and involves approximately 20 hours a week, over 4 or 5 days.

The successful candidate will possess the following skills and qualifications:

  • Strong administrative background and experience in office management
  • Excellent computer skills (Microsoft office, database management, familiarity with Drupal and CiviCRM as strong asset, able to do simple layout)
  • Familiarity with rules and regulations that apply to the non-profit sector and experience working within them
  • Background in customer service or familiarity with working with a membership based organization
  • Experience with budget development, monitoring and management and basic book-keeping rules
  • Ability to manage complex budgets on excel
  • Great organizational skills, able to work with volunteers.
  • Interest in or experience with food and social justice
  • Excellent interpersonal and communications skills
  • Well-organized with excellent follow-through on tasks
  • A college or university degree in relevant fields.
  • Fully bilingual with excellent writing and editing skills in French and\or English.
  • A sense of humour and a commitment to FSC core goals: zero hunger, safe and healthy food, sustainable food systems.

Responsibilities

  • Assist with development of office systems, filing, calendar of meetings, production schedules for documents
  • General administrative tasks, correspondence and enquiries
  • Assistance with select FSC activities (conference calls, meeting logistics, webinars, minute taking)
  • Maintenance of lists and databases, filing systems
  • Management of office filing, bank accounts, insurance policies, contracts.
  • Maintenance of tracking system for funders and other revenue sources
  • Ensuring we have an efficient use of resources for all services.
  • Assist with development of organizational policies and ensure respect for bylaws
  • Assistance with all matters pertaining to the Board of Directors and Executive, including organizing the annual AGM and electronic voting
  • Reply to member and general public enquires
  • Assist ED with budget related and human resource tasks.
  • Membership administration (invoicing, reminders, reporting)
  • Provide support for fundraising and reporting obligations
  • Assistance with travel arrangements, meeting confirmations
  • Support the organization and logistics for Assembly and other FSC events as appropriate
  • Assist Executive Director with administrative tasks as needed
  • Volunteer recruitment and management, as well as solicitation of in-kind supports.
