The West Central Women’s Resource Centre (WCWRC) provides services and programming to women and families in the West Central neighbourhood of Winnipeg. WCWRC is seeking an Administrative Officer (AO) to complete a maternity leave contract. The AO will work with the Executive Director, staff and external accountants to ensure WCWRC is financially responsible. The AO will provide direct administrative support to the Executive Director, including grant writing. 
 
Start Date: Sept 8th 2014
Salary: $19-$21 per hour depending on experience + benefits 
Time requirement: 37.5 hrs per week
Closing date: August 22nd 2014

Duties & Responsibilities

Financial Responsibilities
Expense Accountability
  • Preparing cheques with suitable signing authority
  • Ensuring all bills are accurately paid on time
  • Ensuring that all accounting of expenses and income is accurately documented
Income Accountability
  • Complete donation tracking in QuickBooks
  • Accurately track and update funding agreements
Budgeting
  • Creating an annual budget with the assistance of the Executive Director
  • Assisting with program budgets for funding proposals
Reporting
  • Preparing financial reports to funders as per funder requirements and timelines
  • Facilitate Year End financial reporting including work with external accountants and follow up to annual audit
Fiscal Accountability
  • Complete bank reconciliations and deposits
  • Provide the Executive Director with monthly financial statements
Payroll and HR Support
  • Ensure bi-monthly payroll is accurately paid and recorded on time
  • Prepare annual T4/T4As and Revenue Canada submissions
  • Track staff sick time, vacation time, benefits and professional development
Administrative Responsibilities
 
Administrative Support
  • Provide administrative support to the Executive Director
  • Work with Executive Director to update and maintain financial policies for the centre
Report Writing
  • Support Program Coordinators and Executive Director with reporting requirements
  • Maintain a reporting schedule for all current grants and funding agreements, as well as application dates for future grants

Qualifications Required:

  • Training in areas of bookkeeping, payroll, accounting and/or office procedures
  • Strong IT skills
  • Familiarity with computer accounting software (esp. QuickBooks and Excel)
  • Strong written and verbal communication skills
  • Strong organizational and time management skills
  • Ability to work under pressure
  • Ability to multi-task and prioritize
  • Familiar with Microsoft office software
  • Ability to maintain confidentiality
Additional Assets:
  • Experience working in a non-profit organization
  • Ability to adapt to changing priorities
  • Self-motivated, able to work with minimal supervision
