Responsibility:
The Resource Development Assistant is responsible to the Resource Development Manager. This role maintains the relationship management functions of the fundraising databases for the organization, assists with marketing and fund development functions, helps organize special events, coordinates the volunteer program and provides occasional support to Thrive: Calgary’s Community Economic Development Network.

Objectives:
- Support the objectives of the Fund Development program
- Provide database support and coordination for Fund Development work
- Manage all aspects of Momentum’s volunteer program.
- Assist in the organization and implementation of special events
- Provide administrative support to the Community Relations Director
- Provide administrative support related to fund development, marketing and communications, and Thrive.
Major Responsibilities
Support for Fund Development & Member program Raiser’s Edge Support
- Enter new constituent information into Raiser’s Edge and maintain records as appropriate, ensuring that contact information and statuses are updated appropriately
- Pull relevant data from Raiser’s Edge to support external correspondence to various stakeholders. This may involve running queries, reports, merges etc.
- Serve as the Database Administrator, which involves regular data clean up, making global changes, handling security rights for the system, and fund mapping.
- Gift handling & coding
- Oversee the donation handling process, ensuring donations received are passed along to appropriate staff on Fund Development and accounting teams
- Code all donations to ensure accurate entry into system
- Mail outs and external communications
- Support the logistics of mailings and electronic communications to donors and members
- Volunteer Program Coordination
- Lead all aspects of the organization’s volunteer program.
- Support departments to meet volunteer needs including recruitment and initial interviews.
- Maintain volunteer files and Raiser’s Edge files.
- Update volunteer database and track volunteer hours as entered by each department.
- Prepare volunteer communications
- Support staff to ensure proper volunteer recognition
- Oversee continuous quality improvement activities applicable to the volunteer program
- Coordinate the Participant Ambassador program. Recruit volunteers, design program schedule, manage program budget, and connect ambassadors to engagement opportunities across the organization. Stewardship of alumni relationships, including communications and continued engagement.
Events
- Assist in the organization and implementation of Momentum events, such as Business Breakfast,
- Annual General Meeting and Christmas Open House.
- Provide on-site support to all public Thrive events.
- Assist in organizing the logistics of events, including invitations, food and beverages, gifts, venue booking and set-up, etc.
Marketing and Communications/ Graphic Design
- Act as primary back up for website/blog update and maintenance.
- Manage inventory of marketing and promotional materials.
- Assist in the development of marketing materials such as brochures and program posters, including content, design and layout and distribution.
Administrative Support
- Provide administrative support to the Community Relations Associate Director, Marketing and
- Communications Coordinator, Community Economic Development Facilitator
- Provide support for Thrive Steering Committee Meetings – room set up, food, refreshments, taking minutes
- Update the Thrive website with current CED related events
- Provide superior document management skills in MS Office applications
- Provide other administrative support as required
Organizational & Community Involvement
- Participate in regular Momentum staff meetings, Committee meetings and organizational events.
- Provide front desk reception support.
- Where appropriate, represent Momentum and/or make presentations to the community.
Skills and Qualifications
- Personable, friendly, customer service oriented, tactful in dealing with public
- Sensitive to needs of persons with low literacy, English as a Second Language (ESL), and individuals with disabilities
- Diploma or certificate in office administration or technical writing preferred
- Excellent organizational, communication, interpersonal, planning and writing skills
- Excellent data management skills
- Some graphic design experience would be an asset
- Ability to think creatively and demonstrate initiative
- Effective team building skills required; ability to work with a wide variety of individuals using tact, diplomacy and flexibility, resolve conflict effectively
- Ability to work independently with minimal supervision
- Ability to work under pressure
- Critical thinking and problem solving skills
- Project coordination experience
- Excellent computer skills, superior skill level for MS Office applications (will be tested)
- Demonstrated dependability and reliability
- Occasional evening availability
- A vehicle would be an asset
- Working knowledge of Raiser’s Edge/InDesign/Photoshop/Dreamweaver would be an asset
