Daniel McIntyre / St. Matthews Community Association (DMSMCA) is a non-profit community renewal organization. We work with residents and stakeholders towards social, cultural, economic and environmentally sustainable renewal and revitalization of the Daniel McIntyre / St. Matthews neighbourhoods.


Job Objectives and Responsibilities:

Basic Function and Job Objectives:
The Executive Assistant is responsible to assist the Executive Director in strengthening DMSMCA through the development and use of strong administrative and communication systems, volunteer program management and by assisting in project management and reporting, thereby improving the capacity of the organisation to deliver community-based projects and programs the Daniel McIntyre/St. Matthews community.

Job Responsibilities:
The Executive Assistant will be responsible for the following activities:

  • Administrative Duties - Assist the Executive Director in the management of the following internal and external communications:
    • Establish and coordinate administrative policies and procedures, including reviewing, evaluating, and implementing new procedures;
    • Carryout administrative duties in order to maximize the organisation’s effectiveness and efficiency including; correspondence, filing systems, and project management;
    • Assist the Executive Director in the preparation of correspondence, documents, presentations, proposals, and reports, supporting the Board of Directors and other committees;
    • Assist with the development and reporting on organizational work plans;
    • Assist with the standardize staff performance reviews and creating a tracking calendar;
    • Assist with the development of communication tools and a communication strategy for DMSMCA;
       
  • Volunteer Program Management – develop a volunteer program at DMSMCA:
    • Develop a DMSMCA volunteer application process and accompanying materials, including relevant training manuals, training;
    • Recruit relevant volunteers (create volunteer job descriptions, promote the volunteer program), screen, interview, select and supervise DMSMCA volunteers;
    • Conduct on-going monitoring and evaluation of volunteers
    • Develop and implement volunteer appreciation activities;
    • Work with volunteers and program staff to create work plans for volunteers and practicum students;
    • Build connections with local high schools, universities and colleges to bring practicum or cooperative students to DMSMCA to undertake specific projects.


Qualifications and Experience:

  • Degree in business administration, or equivalent education and experience
  • Strong interpersonal and communication skills, and the ability to interact with staff and general public
  • Self directed with exceptional organizational and follow-through skills
  • Ability to handle multiple tasks simultaneously, while giving attention to detail
  • Ability to take initiative, work independently, problem solve, and work collaboratively with staff and others
  • Demonstrated project administration and management, time management skills, and ability to prioritize and meet deadlines
  • Must have excellent computer skills, including MS Office, Word, Excel, and Outlook
  • Experience with non-profit organizations is an asset
  • Knowledge and experience in Community Development and Community Economic Development.

  • Proposal and report writing skills;
  • Understanding and appreciation of inner city communities;
  • Computer capability; and
  • Knowledge of the West Central Community (preference given to West Central residents).


Employment Terms:

9 Month term position -  20 hours/week

Wage:
$17,500/ year gross (salary and benefits)

Hours of Work:
Up to 20 hours/week; some evening and weekend hours required. This is a one year half-time position. Continuation of the position depends on funding availability.

Start Date:
March 14th, 2011 (anticipated start date).
