Estimated time required: 20 hours/week (Full time from May 24 – June 18, 2010)

 

Health in Common, in partnership with Nine Circles Community Health Centre, United Way of Winnipeg and the University of Manitoba, will host a Summer Institute in Program Evaluation from June 14 – 18, 2010 in Winnipeg, MB.  The Planning Committee is seeking to contract a project coordinator to support overall planning of this event. 

 

Responsibilities

Overall management:

  • Prepare detailed workplan including timelines.
  • Participate in and record discussion of all planning meetings.
  • Provide ongoing progress reports to planning committee.
  • Work with Health in Common Information and Access Coordinator to establish event website.
  • Ensure ongoing communication between planning committee members, community partners,  presenters and participants as required.
  • Prepare final report post event.

Facility/Accommodation:

  • Liaise with venue to coordinate space set-up, signage and materials.
  • Coordinate catering of breakfast, lunch and refreshments during the event.
  • Coordinate audio/visual equipment rental and set-up.

Keynote speakers/Presenters:

  • Contact speakers to confirm requirements for accommodation, travel, audio/visual equipment, materials needed for session, information resources.
  • Request biographies, description of presentations for web site posting and introductions.
  • Work with planning committee to prepare participant course binders.
  • Organize handouts, presentations and confirm approval to post final presentations on line.

Registration:

  • Assist in the development and production of registration information packages.
  • Oversee communication and promotion of the event.
  • Work with Health in Common Administrative Support to ensure community member registrations are processed.
  • Prepare and distribute pre-institute information kits.
  • Oversee on site registration.

On-site management:

  • Provide overall event management on-site.
  • Liaise with planning committee, caterers, staff and venue management as required.
  • Trouble shoot and resolve issues if required.
  • Oversee registration area and manage on-site communication and messaging.

 

Qualifications

  • Excellent interpersonal, written (including reports and proposals), and verbal communication skills
  • Strong facilitation and consultation skills.
  • Experience working in a multidisciplinary team setting and with community agencies.
  • Excellent organizational skills and ability to manage information and distribution lists.
  • Advanced computing skills including word processing, database management, and spreadsheet software.
  • Experience with event planning and management would be an asset.
  • Ability to meet deadlines and work both independently and within a team environment.
  • Able to work from home with access to computer and internet.
