We are currently seeking an Administrative Assistant to join our team.


About the Position:

The School of Indigenous Education requires an Administrative Assistant to provide reception and administrative support functions. Reporting to the Manager, Aboriginal Student Support & Community Relations the individual will be responsible to provide administrative support to the Centre activities and Manager.


Duties:

  • Serving as a receptionist, responding to student, staff and community inquiries through a variety of venues;
  • compiling information, maintaining records, developing and preparing reports;
  • conducting information searches;
  • liaising with First Nation, Métis and Inuit communities;
  • organizing and scheduling meetings and minute taking;
  • assisting with and coordinating special events, including planning and execution;
  • performing various clerical functions (electronic record keeping, photocopying, ordering supplies) ;
  • assisting with marketing and promotion activities;
  • creating and maintaining databases as required ;
  • preparing and coordinating presentations as required;
  • preparing and tracking financial, legal and other documents;
  • acquiring supplies for events as needed.
     

Qualification Requirements:

  • Post-secondary education or business education training would be an asset.
  • Several years of responsible administrative experience.
  • Ability to work under pressure and multi-task.
  • Ability to work both independently and within a team setting.
  • Ability to work effectively with staff, students, and the public, while maintaining confidentiality.
  • Extensive knowledge and experience in advanced Microsoft Office Suite applications, including formatting of complex documents.
  • Experience researching articles and journals.
  • Excellent organizational and customer service skills.
  • Must have access to a vehicle and hold a valid driver’s license.
  • Knowledge of Aboriginal communities and culture is essential.
  • Preference will be given to candidates of Aboriginal ancestry.

The position requires an individual who is motivated, organized, flexible and able to multi-task, prioritize and work with accuracy and attention to detail in an often fast-paced environment. Candidates must: have a positive attitude, demonstrate superior interpersonal and communication skills, interpret situations and respond appropriately, work independently within a team setting, and work effectively and co-operatively with college staff, students, industry representatives and the general public.
