TERMS OF EMPLOYMENT:

Permanent Full Time (35 hours/week)
Salary Range: $35,000 to $40,000 per annum (depending on experience)

Under the direction of the Executive Director, the Executive Assistant will facilitate the day-to-day operation of the agency. The position has a six-months probationary period.


POSITION OVERVIEW

Under the direction of the Executive Director the Executive Assistant will facilitate the day-to-day administrative duties of the agency. The position has a six-month probationary period.


ADMINISTRATIVE RESPONSIBILITIES

  • Management and support for the agency and its administrative needs
  • Prepare and research programs/initiatives to implement in the West Alexander, Centennial, and Central Park neighbourhoods; Establish annual goals and objectives to report on a timely basis
  • Assist the Executive Director in developing annual operational and project budgets; prepare funding/grant submissions
  • Prepare Communications Plans; represent CNDC; liaise with various external and partner agencies/organizations on projects
  • Develop, organize and maintain related statistics, reports and databases
  • Develop resource data on all available government and agency programs to provide assistance to individuals and firms requesting information
  • Prepare and present oral and written briefs
  • Prepare agendas and minutes of CNDC board and staff meetings
  • To work actively with the agency to ensure the successful implementation of CNDC programs for the West Alexander, Centennial, Central Park neighbourhoods
  • To assist in the development, organization and maintenance of information/feedback from residents and community groups on CNDC programs/initiatives; establish avenues for reciprocal consultation and dialog in cooperation with other CNDC staff
  • To assist in planning and implementing citizen driven initiatives related to housing, energy efficiency, safety, recreation, education and training
  • To advocate for the development of policies, options, resources, programs and opportunities related to community development
  • To represent CNDC in professional manner as a valuable community resource for all stakeholders and partners
  • Perform other duties as required, including attending meetings, conferences, and community events
  • Collect and assign time sheets; supervise staff work; prepare payroll; issue payments; order supplies; maintain inventory of office equipment and supplies


SKILLS & EXPERIENCE

  • Knowledge of community assets, organizations and issues in the West Alexander, Centennial, and Central Park neighbourhoods.
  • Experience in working with diverse groups; strong proficiency in conflict mediation, office management, staff supervision, practical knowledge of privacy legislation and office confidentiality.
  • Ability to read, write, and communicate effectively in English; knowledge of an additional language is an asset.
  • Knowledge and experience related to community development in the areas of housing & energy efficiency, education & training, safety & recreation.
  • Ability to synthesize, organize, and analyze relevant information; accurately define and effectively address administrative and community concerns as they arise.
  • Experience in preparing budgets, grants and funding proposals and reports.
  • Driven and Goal oriented; ability to meet deadlines and promptness; ability to efficiently manage multiple projects, team player as well as ability to work independently.
  • Strong computer skills; Working experience with Windows XP and Microsoft Office applications; Operational knowledge of office equipment (fax, photocopier).
  • Experience and effective knowledge of Canadian accounting principals.
  • Efficiency in using Simply Accounting or similar accounting soft wear.
  • Efficiency in preparing payroll, printing cheuques and requisitions, issuing T4’s, submitting remittances, and managing staff benefit contributions.
  • Post-Secondary degree in Social Sciences, or combination of PLRA and relevant work experience.

 
ESSENTIAL SKILLS

  • Ability to read, write and communicate effectively in English; Knowledge of an additional language is an asset
  • Ability and experience working with diverse groups; conflict mediation; effective negotiation skills; supervision of staff; ability to maintain confidentiality and privacy standards
  • Ability to synthesize, organize, and analyze relevant information; Ability to accurately define and effectively address community concerns as they arise
  • Ability to set realistic goals and develop plans to achieve them; manage time effectively; complete tasks in a timely manner; manage multiple projects/tasks simultaneously; work independently with minimal supervision
  • Strong computer skills – solid knowledge and working experience with Windows XP and Microsoft Office applications (PowerPoint, Excel, Word, Access and Outlook); Operational knowledge of office equipment (fax, photocopy); Working knowledge of Simply Accounting is an asset


EDUCATION AND EXPERIENCE

  • Post-Secondary degree in Social Sciences, or combination of PLRA and/or relevant work experience
  • Minimum three years of experience with community organizations
  • Experience in preparation of annual plans, budgets, funding proposals and reports, marketing and communications plans
  • Research and analytical skills
  • Strong communication skills including experience in public speaking in small and large settings
  • Knowledge of formal and informal political processes; knowledge of government funded initiatives and programs related to community development


SALARY & BENEFITS

  • Starting Salary $35,000.00 - $40,000.00 per annum (based on experience)
  • 15 days of vacation to be accumulated in the first year and used in the second year of employment with the agency. Advanced vacation time may be authorized by the Executive Director, or designate, on a case-by-case basis Vacation is accumulated at 1.5 days per calendar month
