Position Description

Tides Canada Initiatives is seeking a full-time Senior Project Specialist for our Vancouver office. The Senior Project Specialist will work closely with and complement the Director of TCI and the TCI Support Team based in our Vancouver and Toronto offices. He or she will provide direct support to half of TCI’s portfolio of over 40 projects and collaborations. This includes day-to-day liaison and project management support for existing projects on a broad range of issues, sector outreach and proposed project review, and approval and orientation of new projects.

Primary Duties and Responsibilities

  • Provide a significant number of diverse projects with front-line, day-to-day service including grants management, preparation of contracts, financial review, governance support, and, occasionally, limited strategic or business development consultation
  • Manage and maintain all project administrative requirements such as timely filing of all funding proposals, monitoring required reporting and payments under contracts, undertaking related correspondence and ensuring the project is appropriately insured
  • Act as the primary point of contact for projects and as the liaison between projects and Tides Canada departments (e.g., finance, client services, human resources, communications) in terms of requirements, reporting, questions or concerns
  • Identify, and collaborate on implementation of, opportunities to improve systems, processes and technical tools
  • Assist projects with funder communications and relationships and manage project grants to ensure all commitments are met
  • Actively manage risk to TCI and its projects through day-to-day issue identification and problem solving, monitoring compliance with project Terms of Reference and working with projects to understand their activities
  • Collaborate with finance department to ensure effective and efficient financial management of projects including reviewing monthly financial statements, monitoring and addressing financial health and sustainability of projects
  • Determine when contracts are required and assist with development of deliverables; review leases and other significant contractual arrangements
  • Facilitate intake of projects and collaborations in concert with all Tides Canada departments including response to initial inquiries; support for applications and review process; recommendations for approval; intake and orientation

Job Requirements

  • 5-8 years experience in business, financial management, project management/administration
  • Significant experience with small or start-up organizations or initiatives
  • Working knowledge of non-profit and charitable regulatory environment, fundraising, grant development, administration and reporting
  • Exceptional service orientation, interpersonal and written and verbal communications skills
  • Experience with, and enthusiasm for, technology and how it can support workflow and processes
  • Experience monitoring cash flow and general financial oversight
  • The ability to think creatively and strategically about TCI’s broad goals, while remaining focused on the detail-oriented work and follow-through required by the position
  • Proven ability to manage diverse and competing demands and meet deadlines
  • Ability to work collaboratively in a team or independently
  • Demonstrated flexibility and initiative
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook , Powerpoint) and SharePoint
  • Proficiency in managing and accessing information using a Client Relationship Management database would be an asset
  • Alignment with the goals and values of Tides Canada
