About the Position:

The Canadian Research Institute for the Advancement of Women (CRIAW) is a national non-profit feminist research organization providing research and tools to support groups taking action for social justice and equality. (See recent publications at: http://www.criaw-icref.ca.)

We are looking for an administrative officer to serve as a temporary maternity leave replacement

Hours of Work: Three days per week, 8 hours per day
Duration: July 20, 2011 to March 9, 2012.
Location: Ottawa
Salary: $23.00 per hour plus benefits


Responsibilities:

CRIAW’s part-time Administration Officer takes care of the office and operations reporting directly to the President.

Database, Membership Renewals and Donations

  • Keep CRIAW’s database accurate and up-to-date.
  • Generate quarterly reminder letters for membership renewals
  • Update database and provide report on changes
  • Generate thank you letters for new and renewing members
  • Provide annual tax receipts to donors
  • Create various statistical reports and print outs from database as needed
  • Maintain a current and accurate e-mail distribution list for CRIAW Board, members, donors and contacts
  • Assist CRIAW’s fundraising efforts by preparing letters and mailings to seek membership and donations

Publications

  • Layout and design CRIAW’s research materials
  • Coordinate printing of all materials
  • Co-ordinate production of a regular e-newsletter to members. Arrange for and check translation, layout, distribute to members, post to web site
  • Regularly check and respond to publication orders from CRIAW’s web site
  • Legally deposit and register CRIAW publications as needed (i.e. ISBN)

Website and Social Media

  • Update content on public and private site
  • Maintain up to date publication list
  • Responsible for layout design and architectural changes
  • Manage the CRIAW Facebook Page
  • Liaise with Website programmers

Board of Directors

  • Advises Board of time lines for activities
  • Organize resources for board of directors
  • Help plan face-to-face meetings and teleconferences
  • Maintain current Board contact information, e-mail distribution list and on web site
  • Maintain CRIAW calendar of activities for Board to plan and monitor activities

General Office

  • Answer telephone, deal with correspondence, e-mail and web site requests
  • Coordinate responses to public enquires, seeking input from President and board as needed
  • Supervise and coordinate work of volunteers
  • Maintains office supplies
  • Liaise with equipment and service providers
  • Other duties as required


Qualifications

  • Ability to take initiative and work without direct supervision
  • Ability to work as part of a team and also independently
  • Ability to meet deadlines and deal with changing priorities
  • Strong interpersonal skills
  • Very strong writing and communication skills in French and English
  • Demonstrated experience with regular office procedures
  • Experience using the following software: Word, Excel, and Outlook. Drupal an asset.
  • Relevant education pertaining to the position
  • Must be fluent in both English and French
