REPRESENTATIVE DUTIES:
- Assists students with the complex admissions and registration process.
- Maintains updated information on funding and sponsorship regulations, UW entrance requirements, UW student supports, and Urban and Inner-City Studies (UIC) program options.
- Organizes and facilitates successful BUS applicants’ orientation process. BUS is a transition to university program.
- Assists BUS students in applying for Band funding, EIA and EI funding process where possible.
- Arranges UIC department and UIC Community Advisory Committee meetings (prepares agenda and minutes).
- Represents UIC on internal and external committees.
- Provides full range of administrative and holistic counselling supports to UIC students.
- Works with non-traditional students in making course selections through web advisor.
- Arranges and manages UIC tutoring program/special study initiatives to assist non-traditional students.
- Provides students with information on the Appeals regulations, rules and updates.
- Assesses and evaluates probationary students’ activity in the program.
- Prepares correspondence and facilitates preparation and distribution of course outlines, exams and tests, activity reports, committee work using various
- Microsoft Applications, timetabling software.
- Provides a connection between contract faculty and UIC program.
- Makes logistical arrangements for hiring of tenure-track positions and prepares the Department Faculty Academic Contracts.
- Answers inquiries about the department programs and opportunities by phone or email.
- Organizes and carries out general office activities (i.e. order supplies/equipment as necessary; manages the office equipment acquired for BUS student use).
- Maintains UIC administrative filing system and the small UIC off-campus library.
- Performs all accounting functions.
- Works with the Registrar’s and Admissions’ staff of UW and UM to facilitate new “North End Campus.”
- Plans quarterly community outreach strategies and outreach objectives.
- Designs, prepares and distributes promotional material.
- Updates and maintains the department website using web design software.
- Speaks at various schools, learning centres and community based organizations to promote the department programs and opportunities.
- Organizes and publicizes on-going UIC Speakers’ series, and at times speaks at informational meetings, maintaining regular contact with Aboriginal Elders.
- Provides general administrative support.
- Performs other related duties as required or assigned.
QUALIFICATIONS AND EXPERIENCE:
- A university undergraduate degree or college diploma preferred.
- Life Skills Coach Certification/Counselling certificates or experience an asset.
- At least 3 years of administrative experience; experience in working in a post-secondary environment an asset.
- Must have experience and knowledge working with low income, single parent, Aboriginal, immigrant, refugee communities and working in community development programs.
- Must be willing to work at a small, off-campus site in Winnipeg’s North End.
- Must have, or be able to develop, thorough or comparable knowledge of all B.A. degree programs and graduation requirements, funding programs, counselling programs, Senate regulations and University Policy.
- Must be able to win the trust of and maintain positive relations with staff and students at inner-city educational institutions.
- Must be able to work relatively independently with minimal direct supervision demonstrating a high level of personal integrity and professional initiative.
- Must be fair, flexible, and able to adapt to cross-cultural settings.
- Must be able to make independent and consistent judgments and decisions and show initiative.
- Must be sensitive to the needs and concerns of students, while assessing the student’s interests, aptitudes and goals.
- Must have good working knowledge of Microsoft Applications, timetabling software and web design software.
- An equivalent combination of education, experience and skills may be considered.
