Hours:8:30 – 4:30, Monday – Friday, 37.5 hours/week
Dates:May 20, 2014 – August 29, 2014
Wage:$12.00 per hour

Qualifications:

  • Must be between 15 and 30 years of age
  • Must be registered as a full-time student in the previous academic year and enrolled to return to as a full time student in the next academic year
  • Excellent community and written skills
  • Good Computer skills with MS Office
  • Knowledge of the North End Community would be an asset
  • Excellent interpersonal skills

Duties and Responsibilities:

  • Administrative duties regarding event coordination
  • Assist in the fundraising and sponsorship process for the event
  • Assisting in financial duties
  • Attending regular committee meetings for the Picnic

The Picnic in the Park Coordinator will report to the Communications and Event and Coordinator.

Duties:

  1. Fundraising and Sponsorship
    1. Assist with the development, distribution and follow-up of the event Sponsorship Packages to potential donors (Financial and In Kind)
    2. Assist with the submission of grant proposals to relevant funders regarding financial support for the event
    3. Record and maintain all documents and records related to event donations
    4. Coordinate all pick up and/or delivery and inventory of donations (in-kind, prizes, gift certificates etc.)
    5. Prepare charitable tax receipts letters for all event donators for approval and authorization by the Picnic in the Park Committee
       
  2. Financial
    1. Develop and Maintain an accurate event budget of all revenue and relevant expenditures
    2. Assist with coordinating all financial transactions for the Picnic
    3. Prepare cheque requisitions for all event related expenditures for approval and authorization of the Picnic in the Park Committee
       
  3. Administration
    1. Assist with the drafting of a “Terms of Reference” document and Job Descriptions for all members
    2. Attend all Picnic in the Park Committee meetings
    3. Maintain accurate records and back-ups of Picnic related information and documents
       
  4. Site Coordination
    1. Assist with the promotion, confirmation, booking and coordination of the display and vendor tables featured on the day of the event
    2. Assist with the set up and tear down of all equipment and supplies on the day of the event.
       
  5. Event Coordination
    1. Assist the Picnic subcommittees in their specific duties in preparation for the picnic. Subcommittees include:
      1. Entertainment
      2. Food
      3. Children’s activities
      4. Volunteer coordination
      5. Media
         
  6. Marketing and Public Relations
    1. Assist in promoting and advertising the event throughout the community
    2. Assist in developing and distributing an Public Service Announcement to the various media outlets promoting and advertising the event
    3. Assist with the design and purchasing of the promotional materials for the events
       
  7. Urban Green Team
    1. Assist in coordinating and prioritizing activities and assisting Local residents associations with their team
    2. Provide orientations and training for U.G.T.
    3. Coordinate and distribute program related tools and supplies
    4. Collect and maintain U.G.T. timesheets, records and reports as required
