Being quick witted and intellectually curious makes you the perfect person to support Citizens Academy in clarifying strategic priorities, tackling operational challenges and enabling innovation.
The position comes at a time when the Citizens Academy is gearing up for the next phase in our development and thus is a 3-4 month contract that has the potential for much more if we create magic together!
Overview
The Program Coordinator works closely with the ED and the volunteer Leadership Team to strategically support various projects. You are up to date with the Citizens Academy projects and services and are passionate about our values and mission. You will balance the administrative focus on details with the energizing interaction with program participants, volunteers, partners, and stakeholders from all walks of life.
Skills and Qualifications
- Post-secondary diploma in social science or administration;
- 3 to 5 years of working experience in project coordination, administration, or management;
- Strong administration skills, organized and thorough;
- Ability to communicate in writing and orally with individuals at all levels in society in English and French;
- Proven ability to multi-task;
- Demonstrated problem-solving skills;
- High levels of stamina, with some requirements to work in the evenings;
- Proficient in social media and Microsoft Office;
- Familiarity with online learning systems;
- Basic accounting knowledge would be useful.

Office and Program Administration
- Schedule and organize meetings for Leadership team and volunteers, as needed;
- Attend and take notes at Board, Advisory Committee and Strategic Planning meetings;
- Coordinate and review translation requests;
- Research, select and implement a contact management/customer relations software;
- Assist in tracking volunteer hours and supervising budget;
- Manage and maintain Basecamp, DropBox and other digital filing systems, including all internal data, and establish a strategy to transfer responsibility to others.
Civics Learning Programs
- Work closely with the ED and the design and facilitation teams in order to coordinate the communications and logistics for learning programs.
- Implement comprehensive promotional campaigns to recruit participants in Civics Boot Camp and Conversations;
- Prepare orientation package materials and detailed program agendas;
- Support selection of participants and communicate with applicants as well as selected participants;
- Oversee all logistics for program sessions. Conduct site visits in advance of program and oversee room set up on program days;
- Recruit, train and coordinate volunteers to help with program dates.
Alumni Relations
- Work with alumni to co-create lively and engaged alumni relations;
- Foster their integration into CA programs;
- Help them plan events, communicate their news, and celebrate their successes in community action.
Communications
- Implement the Communications Strategy, and ensure appropriate public relations management;
- Act as spokesperson and media contact for CA, when appropriate;
- Represent and promote the CA during community events, forums and conferences;
- Work with part-time communications officer to use social media, newsletters and the website;
- Manage and respond to incoming emails, phone calls and voice messages;
- Relay communications to members of Leadership Team, Program Manager and Online Manager as needed;
- Work with team of volunteer writers to pull together content for communication materials;
