Hours: Flexible from 25-35 hours/week
Wage: $15 to $20/hour, based on experience
Responsible to the executive director
Overall function: To assist SPCW staff and/or contractors in completing project and program activities. Essentially providing technical, logistical and administrative supports as needed in a fast-paced work environment.
Duties:
- Organize and coordinate events (locations, catering, supplies, technical equipment,
- meeting materials, registration, ensure staff coordination and vendor coordination)
- Ensure meeting supports (refreshments etc. ) are provided when necessary
- Work with SPCW staff, contractors and volunteers to provide necessary project support
- When needed, assist with minutes and other documentation of meetings
- Maintain library of reports, book and video materials, actual and electronic
- Monitor and manage content placed on SPCW social media – website, Facebook, Twitter and YouTube
- Monitor and report on social media outreach effectiveness
- Provide staff with secretarial support on specific documentation needs
- With the executive director, ensure board and executive meeting minutes are distributed and signed copies maintained for the annual report
- Maintain up-to-date board and staff contact list as well as new board and staff manuals
- Manage membership (accept, record and follow-up on renewals when needed)
- With the executive director ensure timely communication between membership and SPCW
- Assist with the design, editing and production of SPCW reports and publications
- Track SPCW’s membership in other organizations and ensure timely communication with partner organizations
- Distribute information to general public and media, and follow-up on all enquiries
- Maintain office reception area and serve as first point of contact for public (in person, phone or email inquiries)
- Maintain daily security of the office and equipment as necessary
- Assist the office manager in assuring office equipment is working
- Coordinate use of SPCW meeting spaces and maintain an accurate calendar record
- Create other resources as needed and directed by the executive director
Qualifications:
- Office administration experience
- Proficient in Microsoft Office
- Some experience with document design and layout (familiarity with Adobe Photo Shop and InDesign would be an asset)
- Familiarity with website and social media management
- Well-organized
- Self-motivated, willingness to learn and able to work in a team environment
- Strong communication and public relations skills
- Some understanding and appreciation of progressive and evidenced based approaches to social development
