This is a 21 hour per week Position and on occasion is increased when the work demand is high.

 Finance

  • Document & record all transactions of the Jubilee Fund in a recognized accounting software.
  • Make bank deposits, prepare cheques for signature, administer payroll, benefits & deductions.
  • Prepare monthly financial statements including Balance Sheet, Income Statement and Portfolio Report.
  • Respond as required to assist in the carrying out of the annual audit of the Jubilee Fund.
  • Prepare an annual operating budget for consideration by the Board of Directors.

Administration

  • Handle mail, telephone, filing, supplies, paper production activities and office routines.

Project Support

  • Document loan repayments and guarantee paydowns.
  • Provide client support and financial advice if requested.

Communications

  • Assist with mailing for newsletters.
  • Assist with major mailings in support of the Fund Development Manager.

Organizational Support

  • Coordinate Jubilee Fund events including the Annual General Meeting and volunteer, donor & investor appreciation events.
  • Report and provide advice to Executive and Finance Committees.
  • Assist with Jubilee Fund events.
  • Attend meetings for the Board, Finance, Event Planning, Charity Auction and other Committee Meetings as needed. In discussion with the Chairperson, prepare agenda and other related support material to be sent out one week prior to the meeting; take minutes and then distribute the minutes to the Committee members and the Board.

The Jubilee Fund is a non-profit lender that finances organizations and individuals that do not qualify for traditional financing and is currently looking to hire a part-time office administrator.   Duties will include bookkeeping, minute taking, the maintenance of a data base, preparation of portfolio reports, assisting with fundraising and coordination of reports.  The ideal candidate will have some experience of non-profit work and fundraising, an ability to work in a small office, computer skills in a variety of programs (including Simply Accounting and  online payroll systems) an ability to maintain confidentiality and will have good personal and professional boundaries.
