The Opportunity:
The Administrative Assistant is an important role in the organization. In this role you thrive on seeing the organization succeed every day. You are someone who is strong administratively who is articulate and detail-oriented along with exceptional organizational and prioritization skills with the ability to regularly act independently and make decisions based on analysis and critical thinking. You smoothly handle your role under the pressure of frequent interruptions and changes in priorities. As the Administrative Assistant you are exceptionally organized, have extraordinary maintenance and management of files and calendars, and are a whiz at keeping things on track and always meet deadlines. You are also able to multi-task and work in a fast paced and busy environment.
What You Will Do:
The Administrative Assistant is responsible for a wide variety of duties in support of the whole organization. Duties include:
- Answering and directing telephone calls
- Greeting and providing general assistance to the public
- Receiving, sorting, distributing, and posting daily mail including faxes, and emails
- Photocopying and maintaining photocopy machine
- Filing of organizational documents
- Ordering and inventory keeping of office supplies
- Commitment to the strengths and values of Indigenous knowledge, cultural reclamation and traditional healing practices
- Assist in the maintenance of a data base system
- Assisting in the generation of documents as required for a non-profit corporation
- Minute taking for staff meetings and council meetings
- Responsible for the accurate typing of all correspondence including letters, memos, reports, pamphlets, etc.
- Meeting preparation which includes preparing agenda and minutes, booking room, calling committee members, ordering of food
- Communicates and liaises effectively with management and staff
- Works cooperatively and collaboratively with program staff
- Maintains and fosters a spirit of teamwork and cooperation
- Maintains awareness of community resources
- Demonstrates respect for participants, families, and community
- Maintains confidentiality
What You Need:
- Diploma or certificate in a relevant field or equivalent combination of education and experience
- At least 2-years proven experience as an Administrative Assistant
- Full comprehension of office management systems and procedures – Microsoft Word, Excel, power point
- Exemplary planning and time management skills
- A well-defined sense of diplomacy, including sound judgment and the ability to maintain a high level of confidentiality
- Clear Criminal Record Check and Child Abuse Registry Check
- A valid driver’s license access to a vehicle an asset
