What We Need

Ka Ni Kanichihk is seeking a strong leader for the position of Administrative Assistant to join our growing team. This vital role is the lead in a full range of administrative and office management duties for the whole organization and acts as a support to other team members. Key tasks include the management of building maintenance and office processes, administrative support, reception, processing cheques, maintaining filing systems, and providing appropriate routing of responses to request for information from the community and participants. We need an ambitious go-getter who is willing to take initiative, is very organized, and professional. We need someone who is comfortable dealing with diverse people, is adaptable and flexible. You should thrive in a busy office setting, can juggle multiple task, and consistently execute to the highest standard.

About the Role Responsibilities

  • Has experience with office management such as maintaining the management of building maintenance, coordinating office processes, maintaining equipment, and filing systems
  • Act as the liaison with building management vendors, and coordinate maintenance issues as they arise
  • Implement and maintain current office procedures and administrative systems
  • Develop and implement operational efficiencies to improve operations, and organizational processes where necessary
  • Assist and support staff with general administrative tasks such as photocopying, filing, outgoing mail, drafting correspondence or communications, etc. (print, email, fax)
  • Serve as the first point of contact acting as the “face” of the organization, to staff, and community members ensuring a great first impression of our organization
  • Reception including answering phones and directing telephone calls, and handle internal and external queries
  • Maintain and coordinate ordering of office supplies
  • Assist organization and programs with meeting and event preparation as needed
  • Committed to the strengths and values of Indigenous knowledge and cultural reclamation

What You Bring

  • Two plus years of office administration and office management experience
  • Related post-secondary education preferred
  • Excellent interpersonal, verbal and written communication skills
  • Strong computer skills with advanced experience in the use of MS Office products with emphasis on Word and Excel required.
  • Ability to manage, balance and prioritize multiple competing priorities simultaneously
  • Must be prepared to work 40 hours a week with flexible hours including days, some weekends, and some evenings
