The West Central Women’s Resource Centre (WCWRC) provides services and programming to women and families in the West Central neighbourhood of Winnipeg. The Centre works from empowerment, inclusion and harm reduction philosophies to support women with concerns such as housing, income security and healing from domestic violence.

The Administrative Coordinator supports WCWRC’s operations and administration. She is responsible for ensuring the smooth running of the Centre and provide financial assistance to the Director of Finance, and administrative support to the Executive Director.

Start Date: October 2018
Salary: $20-22/hr, commensurate with experience
Time requirement: 30-35 hours per week
Closing date: October 9th 2018

Duties and Responsibilities:

Financial Accountability and Reporting

  • Preparing cheques with suitable signing authority
  • Assist with monthly bank and credit card reconciliations through Quickbooks and preparing and complete bank deposits
  • Assist with the preparation of financial reports to funders as per funder requirements and timelines
  • Keep up to date and accurate Reporting Schedule for all staff to consult with direction from the Executive Director

Payroll and HR Support

  • Assist with bi-weekly payroll in Quickbooks
  • Track facilitating and reimbursing staff benefits
  • Track staff sick time, vacation time and staff development
  • Assist with the orientation of new staff

Office Management

  • Procurement of Office Supplies
  • Coordination of technical support, including IT and printer support
  • Coordinate the space use and bookings
  • Maintain and update procedures manual

Administrative Support

  • Provide administrative support to Executive Director
  • Produce materials for all staff use (forms, address labels, etc.)
  • Oversee centre van usage and maintenance schedule

Fundraising

  • Update and maintain Giftworks program
  • Support the creation of fundraising materials
  • Research and assist with preparation of grant applications

Board Support

  • Keep record of Board Member information and activities
  • Send reminders and order food for board meetings

Knowledge, Skills and Abilities

Essential:

  • Post-secondary education in bookkeeping, payroll, administration and office management; combination of education and experience may be considered
  • Familiarity with computer accounting software (Quickbooks, Excel)
  • Strong computer skills and the ability to provide support to other staff
  • Attention to detail
  • Ability to keep sensitive material confidential
  • Ability to multitask
  • Strong organizational and time management skills
  • Excellent organizational skills with the ability to work independently

Preferred:

  • Strong written and verbal communication skills
  • Experience working in a non-profit organization
  • Ability to adapt to changing priorities
  • Self-motivated, able to work with minimal supervision
