Introduction
This Request for Proposal (RFP) is issued to provide the selection process for virtual event services. Proposals will be
accepted from:

  1. Individuals operating as independent contractors;
  2. For-profit, private entities; and
  3. Preference will be given to proposers with experience working with event facilitation on virtual event platforms and women focused events.

Proposers submitting a response to the RFP will be asked at a minimum, to state their qualifications, experience relating to virtual event facilitation, and offer their methodology for meeting the requested criteria. The selection process will focus on qualifications, and previous experience with event facilitation on virtual event platforms.

Description of Services

The objective of the RFP is to procure virtual event coordination services. PARO Centre for Women’s Enterprise is seeking a Virtual Event Coordinator to facilitate an annual women’s event (considering Nov. 11 or 12 at this time). This event will be an all-day event, and great learning opportunity for emerging entrepreneurs and scaling business professionals. This is the first time that we will host this particular event virtually, with a keynote speaker, few workshop or panel options, a Pop-Up Market, an online auction, and to engage women in networking opportunities on the platform, with a short AGM near the end of day. PARO requires assistance in facilitating our event virtually, ideally, an expert detailer, capable of facilitating the event, coordinating with marketers, and software facilitators, from inception to completion.

Working with Management and the Event Committee, the services to be performed include:

  1. Develop an event action plan to identify and schedule tasks accordingly
  2. Develop an event schedule conducive to the event platform
  3. Host Committee meeting to ensure that all facets are considered
  4. Work to customize the software, if needed, to suit the event schedule and requirements
  5. Launch the event, and create leads
  6. Develop Marketing strategy and coordinate with Marketer
  7. Responsible for the registration of participants
  8. Responsible for the cohesiveness of the software
  9. Responsible for all details of the event execution

Submission Guidelines

Proposers are required to submit a document addressing their qualifications and submit a work plan highlighting their
methodology for the virtual event execution.

Submit a quote within a reasonable range for Virtual Event Coordination for an all-day event hosted for a charity.
