A. OVERVIEW

NLT is looking for an organized and detail-oriented Administrative & Financial Assistant to support the back-end operations of the organization.

The Neighbourhood Land Trust (NLT), the charitable arm of the Parkdale Neighbourhood Land Trust (PNLT), seeks an Administrative & Financial Assistant to undertake to support the operations of the non-profit Community Land Trust (CLT). The role includes a broad set of activities including office administration, general communications and financial management.  These responsibilities are detailed in Section B.

This new role is indispensable for supporting the Land Trust’s operations and organizational growth as Toronto’s first neighbourhood-based CLT.  First incorporated in 2014, NLT’s accomplishments include acquiring 87 Milky Way as a community-owned urban agriculture space (2017); acquiring a 15 unit at-risk rooming house for affordable housing (2019); and acquiring a 36 unit apartment building as affordable housing (2021). Most recently the City of Toronto announced that in early 2022 it will transfer 82 single family homes and small buildings with a total of 154 units currently owned by Toronto Community Housing to the Land Trust.

In the coming years NLT hopes to strengthen its operations and increase its impact by acquiring more land and housing. In late 2020 the NLT membership approved a new five year Strategic Plan that charts a path to bring 300 units of affordable housing under community ownership by 2025. The Administrative & Financial Assistant will play an important role in supporting NLT’s growth and enacting social change on a neighbourhood scale.

This position also allows for being part of the wider systems change and movement building underway! The Administrative & Financial Assistant will work as part of a small, dynamic and interdisciplinary team. Supporting the development of local ground-up leadership, working closely with residents and local organizations, we are a people's movement that is at the front lines of the fight against predatory development and displacement. Our work is firmly embedded within praxes of anti-oppression, radical social justice and Systems Change. The ideal candidate will be an early or mid-career administrative professional with a strong commitment to neighbourhood inclusiveness and social equity. This position requires attendance of an average of two evening meeting per month. 

B. RESPONSIBILITIES

  • Operations
    • Oversees the office;
    • Acts as front line contact for phone and email inquiries;
    • Performs clerical duties such as filing: photocopying, faxing, and mailings;
    • Types agendas and minutes for meetings;
    • Prepares and submits statutory information reports to Government as required;
    • Ensures operations are compliant with organizational bylaws and policies.
  • Finances
    • Financial Management
      • Oversees accounts payable and receivable in collaboration with the Bookkeeper;
      • Prepares payroll including reviewing staff timesheets, generate paystubs through Quickbooks and processing payment through online payment system;
      • Monitors cash flows;
      • Coordinate quarterly financial reports to the Finance Committee in collaboration with the Bookkeeper;
      • Assists with the preparation of the annual financial audit for the Board in collaboration with the Bookkeeper;
        ​Ensures that financial procedures and policies are followed in accordance with the directives of the Board and all other legal statutory and regulatory requirements.
    • ​​​Fundraising
      • Coordinate with the Resource Development Committee to support:
        • implementation of fundraising activities;
        • drafting and editing of funding proposals; and
        • donor stewardship activity.

Other duties as assigned.

C. QUALIFICATIONS

  • Required:
    • Strong written, verbal and online communication skills;
    • Strong financial management skills;
    • Working knowledge of administrative software (Microsoft Word, Excel);
    • Commitment to working from an anti-oppression and social justice framework;
    • Ability to work within a diverse community (including working with seniors, youth, people with different abilities and different cultural and socio-economic backgrounds).
  • Preferred:
    • Graduate of a recognized Office Administration program or equivalent;
    • Work experience in non-profit management, financial management, business, or a related field.
    • Well organized and able to work independently.
    • Working knowledge of financial management software (QuickBooks).
    • Ability to speak a language relevant to the neighbourhood is an asset.

D. SUPERVISION & WORK ENVIRONMENT

  • Will work under the supervision of the Executive Director.
  • Will work independently and must be able to think critically.
  • Considerable impact to the organization if errors are made.
  • Regular use of confidential information.
  • Will work as part of a small staff team that works collaboratively to complete organizational priorities.
  • While the Administrative & Financial Assistant will be responsible for a specific scope of work and deliverables, collaboration with other staff and partners is required.
  • NLT staff meetings are held weekly to assure all members of the team are informed of the general progress of key projects.
  • Normal office environment; periods of light physical activity (For example; intermittent sitting, standing or reading).
  • COVID-19 public health guidelines apply to all work. During periods to high-risk and or mandated lockdowns, staff may work from home.
  • In regular circumstances staff are expected to work from the office no less than 3 days a week.
  • Some degree of physical skill and coordination required (for example; basic keyboarding)
  • Work may be a little uncomfortable and may lead to minor injury or illness
